Terms of Use

• You must be at least 18 years of age to use VahanBooks
• You must have the legal authority to enter into a binding contract under Indian law
• By using the Platform, you represent that you meet these requirements
• Use by individuals under 18 is strictly prohibited

VahanBooks is a SaaS (Software-as-a-Service) transport business management platform that helps truck owners, fleet operators, and transport brokers manage trips, khata (ledger), payments, invoices, PODs, reports, driver accounts, and vehicle documents digitally.

• You must provide accurate, complete, and current information at registration
• You are responsible for maintaining the confidentiality of your login credentials
• You are responsible for all activities that occur under your account
• Notify us immediately at vahanbooks@gmail.com if you suspect unauthorized access
• You may not create accounts using false identities or impersonate others

• Free Plan: Available at no charge with core features as described on our website
• Pro Plan: ₹208/month (billed monthly), ₹1,199 (6-month), or ₹2,499/year
• Enterprise Plan: ₹499/month, ₹2,999 (6-month), or ₹5,999/year
• Payments are processed by Razorpay, a RBI-registered payment aggregator
• All prices are in Indian Rupees (INR) and exclude applicable GST
• We reserve the right to modify pricing with 30 days' prior notice

• Pro-rated refunds are available within 7 days of subscription purchase
• Refund requests after 7 days are not eligible under our standard policy
• You may cancel your subscription at any time; premium access continues until the billing period ends

You agree to use VahanBooks only for lawful transport business management purposes. You must not:

• Use the Platform for any illegal, fraudulent, or unauthorized purpose
• Attempt to reverse-engineer, copy, or redistribute the software or its source code
• Upload content that is harmful, abusive, defamatory, or infringes third-party rights
• Share your account credentials with unauthorized parties
• Use automated tools (bots, scrapers) to access or extract data from the Platform
• Interfere with or disrupt the Platform's servers, networks, or security
• Use the Platform to send unsolicited messages (spam) via WhatsApp or any other channel

• You retain full ownership of all business data you enter into VahanBooks
• We do not claim ownership of your trip records, payments, invoices, or any other business data
• You may export or delete your data at any time from within the application
• By using VahanBooks, you grant us a limited licence to process your data solely to provide the service

• The VahanBooks platform, design, code, branding, logos, and documentation are the exclusive intellectual property of VahanBooks
• You are granted a limited, non-exclusive, non-transferable licence to use the Platform during your subscription period
• This licence does not include the right to sub-license, resell, or commercially exploit the Platform
• The name "VahanBooks" and associated logos are trademarks of VahanBooks

• WhatsApp reminders are sent only to parties who have explicitly opted in
• You are responsible for ensuring that parties listed in your account have consented to receive WhatsApp messages
• Misuse of the WhatsApp reminder feature to send spam or harassment may result in account suspension
• Message delivery depends on Meta's WhatsApp Business API and is not guaranteed by VahanBooks

We strive for high uptime and reliability but do not guarantee uninterrupted access. Scheduled maintenance, updates, and unforeseen issues may temporarily affect availability. We will make reasonable efforts to notify users of planned downtime in advance.

VahanBooks is provided "as is" and "as available" without warranties of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that:

• The Platform will be error-free or uninterrupted
• Data loss will not occur (you are advised to maintain your own backups)
• The Platform meets every specific business requirement

To the maximum extent permitted by Indian law:

• VahanBooks shall not be liable for any indirect, incidental, special, or consequential damages
• Our total aggregate liability shall not exceed the amount paid by you in the 12 months preceding the claim
• We are not liable for losses arising from incorrect data entry by users, third-party service failures, or force majeure events

• You may close your account at any time by emailing vahanbooks@gmail.com
• We may suspend or terminate accounts that violate these Terms, with or without notice
• Upon account closure, your data is retained for 30 days to allow export, then permanently deleted (financial records retained per legal requirements)

• These Terms are governed by the laws of India
• Any dispute shall first be attempted to be resolved through mutual negotiation within 30 days
• Unresolved disputes shall be subject to the exclusive jurisdiction of courts in East Godavari District, Andhra Pradesh, India
• Consumer disputes may also be raised before the appropriate Consumer Disputes Redressal Forum under the Consumer Protection Act, 2019

We may update these Terms from time to time. Material changes will be notified via email or in-app notice at least 7 days before taking effect. Continued use of VahanBooks after the effective date constitutes acceptance of the updated Terms.
